Commercial Invoice Template

Generates detailed commercial invoices required for international trade, customs declarations, duties, and import/export processing.

How to use this template

A commercial invoice is the main document customs authorities use to check what is being shipped, what it is worth and who is buying it. This template lays out the usual details of an export invoice and calculates the totals for you. The preview updates as you type, and you can print it or save it as a PDF.

Nothing you enter is uploaded or saved. Refreshing or closing the page clears the form, so save a PDF before you leave.

  1. Exporter / seller: your company name and address (required), and your tax or registration numbers, such as GSTIN and IEC.
  2. Consignee: who receives the goods (name and address required). Add the buyer separately if it is a different company.
  3. Invoice and shipment: the invoice number and date (suggested from today), currency, countries of origin and destination (required), the Incoterms® 2020 rule and named place, transport details and the reason for export.
  4. Goods: one row per product, with a clear description, HS code, quantity, unit price and net weight in kilograms.
  5. Charges, tax and packing: any freight, insurance or other charges billed on this invoice, a tax rate if one applies, the total gross weight and the number of packages.
  6. Check the declaration wording, add the signatory, then select Save as PDF or Print.

How the totals are calculated

Line value
Quantity × Unit price
Goods total
Sum of line values
Tax
Goods total × Tax rate (0% unless you enter one)
Total invoice value
Goods total + Freight + Insurance + Other charges + Tax
Total net weight
Sum of the line net weights, in kg

Example

An Indian apparel exporter shipping on CIF terms

Two lines of cotton T-shirts invoiced in US dollars, with freight and insurance billed to the buyer.

You enter

Currency / Incoterms
USD / CIF
Item 1
Men’s knitted cotton T-shirts, HS 6109.10, 600 pcs × $3.75, 120 kg net
Item 2
Women’s knitted cotton T-shirts, HS 6109.10, 400 pcs × $4.10, 72 kg net
Freight / insurance
$350.00 / $25.00
Tax rate
0%
Packing
210 kg gross, 20 cartons

Working

  1. Item 1: 600 × $3.75 = $2,250.00.
  2. Item 2: 400 × $4.10 = $1,640.00.
  3. Goods total: $2,250.00 + $1,640.00 = $3,890.00.
  4. Total invoice value: $3,890.00 + $350.00 freight + $25.00 insurance = $4,265.00.
  5. Total net weight: 120 + 72 = 192 kg. The 210 kg gross weight is not less than that, so it is accepted.

Result Total invoice value (USD) $4,265.00, with 192 kg net, 210 kg gross and 20 cartons shown on the invoice.

Frequently asked questions

Which fields are required?

The exporter’s name and address, the consignee’s name and address, the invoice number and date, the countries of origin and destination, and at least one item with a description and a quantity above 0. Everything else is optional; optional fields left blank are left off the invoice.

What HS code format can I enter?

Codes of 6, 8 or 10 digits, with optional dots or spaces between digit groups, such as 6109.10, 61091000 or 6109 10 00. The code is printed exactly as you type it.

Indian shipping bills generally use the 8-digit ITC(HS) code. Confirm the right code for your product with your customs broker or the DGFT ITC(HS) schedule.

Does the Incoterms® rule change the totals?

No. The rule and named place are printed on the invoice but do not change the arithmetic. Under EXW, FCA, FAS or FOB the buyer normally arranges the main carriage, so freight and insurance are usually left at 0 unless you charge them on this invoice.

Which currency should I use?

The currency agreed with your buyer. Indian rupees are selected first; US dollars, euros and pounds are also available. No conversion is done, so enter every price in the chosen currency. Rupee amounts use Indian grouping (₹1,00,000.00); other currencies use their usual format ($100,000.00).

Should an export invoice include tax?

The tax rate is 0 unless you enter one. Exports from India are generally zero-rated under GST: shipped under a bond or LUT without paying IGST, or with IGST paid and then refunded. If you pay IGST on the export, enter the rate and a tax name such as IGST; tax is charged on the goods total only. Confirm the treatment for your shipment with your tax adviser.

Where do I put my GSTIN and IEC?

In “Tax / registration no.” under Exporter / seller. It is a single field, so you can enter both, for example “GSTIN: … · IEC: …”.

How are weights handled?

Weights are in kilograms. Net weight per line is optional, and the total net weight is the sum of the lines. The total gross weight cannot be less than the total net weight, and the number of packages must be a whole number.

How many items can I add?

Up to 50. A row with no description, HS code, quantity, price or weight is ignored; a row you have started needs a description and a quantity above 0.

How are dates shown on the invoice?

As day, month and year, for example 22 Oct 2026, so they read the same way in India and abroad.

Is this the same as a proforma invoice?

No. A proforma invoice is sent before shipment as an offer or estimate; a commercial invoice records the actual sale and travels with the shipment. This template is for the commercial invoice.

Will customs accept this invoice?

It is a template to help you prepare the document, not a customs filing. Requirements differ by country, buyer and carrier, so check the classifications, values and declaration against what your customs broker, freight forwarder or buyer asks for.
